This policy covers our website, contact forms, related enquiries, and customer and distributor accounts.
2. Contact forms and enquiries
When you submit a contact form, we process the information you provide, including your contact details, company information, location, and message. Submissions are delivered to info@prahaap.com and may also be stored within the Wix systems used to operate the form.
We use this information to answer questions, prepare quotations, arrange demonstrations, provide support, and respond to other business requests.
Our legal basis is our legitimate interest in responding to enquiries and providing relevant business assistance. Where you personally request steps towards entering a contract with us, or assistance under an existing contract, processing may instead be necessary for those steps or that contract.
Required fields are identified on the form. Without the necessary information, we may be unable to respond or provide the requested service. Please avoid including sensitive personal information that is unrelated to your enquiry.
Submitting an enquiry does not by itself constitute consent to receive unrelated marketing emails.
3. Referrals to distributors
We may forward your enquiry to the authorised distributor responsible for your country, region, or application where this is reasonably necessary to provide the quotation, demonstration, local assistance, or support you requested.
We limit the information shared to what is relevant to your enquiry. Our legal basis is our legitimate interest in directing business enquiries to the appropriate service provider, or contractual necessity where applicable.
Distributors that determine how they handle enquiries act as separate controllers and must provide information about their own privacy practices. You can contact us to identify the distributor receiving your enquiry.
Transfers outside the European Economic Area are subject to the requirements described in Section 8.
4. Customer and distributor accounts
Where account registration is available, we process registration details, company information, access permissions, and relevant account activity to administer accounts, provide authorised resources, and maintain security.
Our legal basis is our legitimate interest in operating a secure customer and distributor portal and, where applicable, performing a contract with you.
Public website content does not require a member account. Restricted resources may require registration and approval.
5. Website operation and cookies
Our website uses Wix for hosting, content management, forms, account functions, and video delivery. Website infrastructure may process IP addresses, browser and device information, request times, and technical or security logs.
We process necessary technical information for our legitimate interests in delivering a reliable website, preventing misuse, and resolving technical problems.
Strictly necessary cookies and similar technologies support functions such as security, session management, account access, and remembering privacy choices. These do not require cookie consent where they meet the applicable necessity exemption.
Optional cookies and similar technologies require your consent. You can reject optional cookies and continue browsing the public website. Ignoring or closing the banner does not constitute consent.
You can change your choices through the privacy settings control on the website.
6. Consent management and optional Google services
We use Usercentrics for Wix to collect and remember privacy choices and maintain records of consent. This involves processing consent selections and associated technical information, such as timestamps and identifiers used to record those choices.
We process consent records to meet our legal obligations to manage and demonstrate consent.
Our current consent inventory lists Google Tag Services in the Marketing category. Any optional Google tracking must remain subject to the consent choices described in our banner.
[Before publication: identify the actual connected Google service, its purpose, data collected, provider, retention period, and transfer arrangements—or remove the integration and replace the preceding paragraph accordingly.]
Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.
7. Videos and external websites
Videos displayed on our website are uploaded to and delivered through Wix. These uploaded videos do not require an embedded YouTube player.
Buttons and other links may take you to YouTube or another external website. Once you follow such a link, the destination provider processes information under its own privacy and cookie policies.
8. Recipients and international transfers
Information may be accessed by authorised personnel and providers supporting our website, email communications, IT systems, and business administration. These include Wix, Usercentrics, and the provider hosting our info@prahaap.com mailbox.
Relevant enquiries may also be shared with authorised distributors as explained above. Information may be disclosed to professional advisers or authorities where necessary to comply with law or establish, exercise, or defend legal claims.
Some providers or distributors may process information outside the European Economic Area. Such transfers require an applicable legal transfer mechanism, such as a European Commission adequacy decision or appropriate safeguards, including Standard Contractual Clauses.
[Before publication: confirm the email provider, relevant destination countries, and safeguards used for providers and distributor referrals. Add where individuals can obtain details or a copy of the applicable safeguards.]
9. How long we retain information
We apply the following retention rules:
-
Enquiries that do not lead to a business relationship: up to 24 months after the last substantive communication.
-
Customer, distributor, and support communications: for the relevant relationship and subsequently where needed for continuing support, warranties, legal claims, or applicable recordkeeping obligations.
-
Member accounts: while access remains authorised. Following closure, account information is deleted or anonymised unless specific records remain necessary for security, legal obligations, or legal claims.
-
Contracts, invoices, and accounting records: for the periods required by applicable law.
-
Consent records: for the duration of reliance on the recorded choice and the subsequent period necessary to demonstrate compliance or address legal claims.
-
Technical logs and backups: according to the applicable provider’s retention and backup cycle, limited to operational and security needs.
-
Cookies and optional tracking: according to the durations disclosed in the consent settings.
We retain only information necessary for the relevant purpose. Where a legal obligation or unresolved claim requires longer retention, we restrict continued use to that purpose.
10. Your rights
Subject to the conditions in applicable law, you may request access to, correction of, or deletion of your personal data, restriction of processing, or data portability.
You may object to processing based on legitimate interests. You may object to direct marketing at any time. Where processing relies on consent, you may withdraw it at any time.
To exercise your rights, email info@prahaap.com. We may request proportionate information to verify your identity. We normally respond within one month; extensions may apply where permitted by law.
You may complain to the Czech Office for Personal Data Protection (Úřad pro ochranu osobních údajů), www.uoou.gov.cz, or another competent supervisory authority.
11. Security and policy updates
We use appropriate technical and organisational measures to protect personal data, including access controls and the security features of our service providers.
We may update this policy when our services or data practices change. The current version will be published on this page with its effective or revision date.
